Welcome to Glacier Nepal Trek. These Terms and Conditions constitute a legally binding agreement between Glacier Nepal Trek (hereafter referred to as “the Company,” “we,” “us,” or “our”) and the client (“you,” “traveller,” or “customer”). By booking any trip, trek, expedition, or travel service with Glacier Nepal Trek, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
1. Booking Process
- A booking is confirmed once the client submits a completed booking form and pays the required deposit.
- The standard deposit amount is 20–30% of the total trip cost unless otherwise specified.
- The remaining balance must be paid before arrival in Nepal or before the trip departure date, as specified in your invoice.
- Bookings are subject to availability and confirmation by the Company.
- The Company reserves the right to decline any booking at its discretion.
2. Payment Terms
- Payments may be made via bank transfer, online payment gateway, or other approved payment methods.
- Clients are responsible for any transaction or bank fees.
- Prices are quoted in USD unless otherwise stated.
- The Company reserves the right to adjust prices due to unforeseen circumstances such as government taxes, permit fees, fuel surcharges, or currency fluctuations.
3. Cancellation Policy
Cancellation must be made in writing (email is acceptable).
Cancellation charges are as follows:
- 30+ days before departure: Deposit retained as administrative fee.
- 15–29 days before departure: 50% of the total trip cost charged.
- 7–14 days before departure: 75% of the total trip cost charged.
- Less than 7 days before departure or no-show: 100% of the total trip cost charged.
3.3 Any unused services during the trip are non-refundable.
4. Refund Policy
- Refunds (if applicable) will be processed within 15–30 working days.
- No refunds will be made for delays, itinerary changes, or cancellations caused by weather conditions, natural disasters, political unrest, flight cancellations,
- pandemics, or other circumstances beyond the Company’s control.
- If the Company cancels a trip for operational reasons, clients may choose between a full refund or rescheduling the trip.
5. Travel Insurance
Comprehensive travel insurance is mandatory for all clients.
Insurance must cover:
- Emergency medical expenses
- High-altitude evacuation (helicopter rescue)
- Trip cancellation and interruption
- Personal liability
- Loss or theft of personal belongings
Clients must provide proof of insurance before departure.
6. Liability
Glacier Nepal Trek acts as an agent for hotels, airlines, transportation providers, and other service suppliers.
The Company shall not be held liable for:
- Injury, illness, death, accident, delay, or loss of property
- Acts of God, natural disasters, and weather conditions
- Government actions, strikes, wars, or political unrest
- Changes in itineraries due to safety concerns
Adventure travel involves inherent risks, including altitude sickness, physical exertion, and unpredictable mountain weather. Clients accept these risks voluntarily.
7. Health and Fitness Requirements
- Clients must ensure they are physically and mentally fit for trekking and high-altitude activities.
- The Company reserves the right to request medical clearance if necessary.
- The Company may remove any client from a trip if their health or behavior poses a risk to themselves or others.
8. Visa and Travel Documents
- Clients are responsible for obtaining valid passports and visas.
- Tourist visas for Nepal can typically be obtained upon arrival at Tribhuvan International Airport in Kathmandu.
- The Company is not responsible for denied visas or entry refusals.
Passports and Visas (Nepal)
Visitors to Nepal must obtain a visa upon arrival (unless exempt). Your passport must:
- Be valid for at least 6 months from the entry date
- Contain at least one blank page
Current visa fees (subject to government changes):
- USD 30 – 15 days
- USD 50 – 30 days
- USD 125 – 90 days
We recommend completing the online arrival form through the official Nepal Immigration website before travel and bringing the printed barcode receipt (valid for 15 days).
9. Refusal of Service
Glacier Nepal Trek reserves the right to refuse service to any client who:
- Violates local laws or regulations
- Engages in unsafe, disruptive, or abusive behaviour
- Fails to comply with the instructions of guides or staff
- Endangers the safety of others
No refund will be issued in such cases.
10. Itinerary Changes
- While we strive to operate trips as planned, itineraries may change due to weather conditions, trail conditions, health concerns, or other safety reasons.
- Decisions made by the Company’s guides regarding safety are final and binding.
11. Use of Photos and Media
- The Company may take photographs and videos during trips for promotional purposes.
- By participating in a trip, clients grant permission for their image to be used in marketing materials, websites, and social media unless they notify the Company in writing before departure.
12. Legal Responsibilities
- This agreement is governed by the laws of Nepal.
- Any disputes arising from this agreement shall be resolved under the jurisdiction of the courts of Nepal.
- If any provision of these Terms and Conditions is deemed invalid, the remaining provisions shall remain enforceable.
13. Acceptance of Terms
By booking a trip with Glacier Nepal Trek, you confirm that:
- You have read and understood these Terms and Conditions.
- You agree to comply with all rules and safety guidelines.
- You accept the inherent risks associated with trekking and adventure travel in Nepal.
